Transaction Coordination Services

After intake sheet is submitted:

  • Send out introductory emails to all parties within 2 hours of intake sheet being submitted
  • Review and audit all paperwork for errors before submitting to brokerage compliance. We will assist with getting any missing signatures or inaccuracies initiated.
  • Call buyers upon receiving the file to ensure they understand who we are and how we can support them through the transaction
  • Schedule inspection, walkthrough, closings and add to agent/client calendar
  • Ensure all contingency dates are on agents calendar
  • 24 hour notice email/text/call for inspection period/due diligence
  • Verify buyer knows how to make deposits and circulate confirmation to all parties
  • If deposits aren’t being held with closing office, ensure funds are transferred before closing.
  • Request our concierge form to be completed by the seller to be provided to buyer before or at closing.
  • Facilitate any addendum/amendments upon request with provided wording provided by agent.
  • Lender touch every 7-10 days verifying we’re on track for loan approval/loan contingency, appraisal value, CD acknowledgment and closing date.

HOA Florida Specific:

  • Call and verify management company upon submission
  • Verify application was submitted & is ready for processing
  • Verify buy is approved and copy is with title company

Pre Closing:

  • Request and review settlement statement prior to closing to verify deposits, credits and commissions.
  • Provide DA/pay at closing to closing office prior to closing.
  • Verify buyer has wiring instructions for cash to close.

Post Closing:

  • Request copy of signed settlement statement and add to compliance system.
  • Verify mls was closed out and data correct.
  • Request permission to send review links to your client.
  • Send clickable link for homestead exemption/cancellation of homeowners insurance.
